To meet the demands of digital transformation, the Ministry of Industry and Trade has implemented an electronic document management software system, aiming to digitize the entire process of handling documents, official letters, and files, creating a foundation for a modern and transparent public service management system.
In the context of digital transformation, optimizing administrative processes, especially document management, is a crucial requirement for improving work efficiency. Shifting from paper-based record management to an electronic document system saves time and costs and enhances transparency in administrative work. To meet this requirement, the Ministry of Industry and Trade has implemented an electronic document management software system to digitize the entire process of handling documents, official letters, and files, creating a foundation for a modern and transparent public service management system.
Electronic document exchange promotes digital administration.
The Ministry of Industry and Trade's electronic document management software system aims to digitize the entire document processing procedure.
This software system fully supports all document management tasks, from receiving, issuing, circulating, tracking, to archiving. The application of this software not only minimizes paper usage but also creates a digital work environment, enabling officials and employees to perform their work more quickly and efficiently.
One of the system's standout features is its hierarchical access control system, allowing for tight control over viewing and editing rights based on user roles and positions. This ensures information security and efficient management of internal document flow. Furthermore, the digital signature feature helps protect the legal validity of documents while significantly reducing processing time compared to traditional manual signing methods.
The system is also deeply integrated with existing work tools such as official email and internal management software, creating a seamless and interconnected work environment. This allows users to handle work from multiple platforms, minimizing disruption and improving efficiency in accessing, searching, and sharing information. Compared to traditional paper-based document management, this system offers superior convenience, speed, and time savings.
Handle work from anywhere with an interconnected digital environment.
Mr. Nguyen Huu Tho, Deputy Director of the Center for E-commerce and Digital Technology Development, Department of E-commerce and Digital Economy, Ministry of Industry and Trade - EcomDX - the unit responsible for operating the Ministry's electronic document system, shared that digital transformation in document management is not simply about applying new technologies, but also about changing mindsets and working methods to optimize processes and improve the efficiency of administrative work. The electronic document management software system implemented by EcomDX not only supports basic tasks such as receiving, circulating, and storing documents, but also creates an interconnected digital working environment, helping officials and civil servants easily access and handle work from anywhere.
To ensure a smooth digital transformation process, the EcomDX Center has organized numerous online training courses, helping users familiarize themselves with the software and raise awareness of the importance of digital transformation in administrative work. These training courses have expanded the reach, enabling many officials inside and outside the Ministry to easily access information and improve their technological skills in their work.
A representative from EcomDX stated that in the coming period, EcomDX will continue to improve the quality of its software and enhance user support services. The goal is to help officials and civil servants use the system effectively, thereby optimizing administrative work processes.
The Center will focus on expanding the application of the software to all units under the Ministry of Industry and Trade, creating an interconnected digital working environment that saves time and costs and improves work efficiency. At the same time, the Center will also improve the process of handling electronic documents from creation, circulation, digital signing to storage, making work faster, more accurate, and more transparent.
In addition, the Center will continue to improve the software's features and performance, ensuring that the application always meets work needs and facilitates users when they require technical support.
These efforts not only help optimize administrative work but also contribute to promoting digital transformation at the Ministry of Industry and Trade, enhancing transparency and work efficiency.
